Filtering your searches allows you to view or send to a smaller selection of contacts. You can set your filter options to search for individual contacts, entire domains, email addresses that contain particular words, confirmed, bounced or active contacts, etc., or any combination of these.

Search Contact(s)

Many people use this function to search for one contact or a group of contacts with the same domain.

Simple Search Using One Filtering Option

Click the 'Search Contacts' link on the home screen.

On the next screen, you can enter in a multitude of different filtering options.

The default is Email Address...is...(fill in the blank). Yet, here you can choose filter any field of data you have, including custom fields - just choose your particular field of data from the drop down box. The second drop down box allows you to select different variable options. In the third box, you will either be provided with options from a drop down box or have to fill in your own data.

For this sample, I'm going to search for a contact by their email address. In this case just type the contact's email address in the blank box and click the "Display Results" box.

The results will display the contact for each instance they are on a list - i.e. In the example below brians1@pinpointe.com is on two lists.

By clicking on the links in blue, to the right of the contact, you can view, edit the details or delete the contact.

Advanced Search Using Multiple Filtering Options

Perhaps you need to find contacts based on a few different filtering options. This is a good option for finding contacts that share the same domain, who live in the same area, have the same titles, etc. Here you can choose a filter for any fields of data you have, including custom fields.

For the example, I'm going to look for contacts that share the following criteria:

  • Activity Status \ is \ active
  • First Name \ is \ Mike
  • Clicked on Link \ Has Clicked \ Any Link

Once you choose your search criteria, click the "Display Results" button. The results are pulled from contacts from all of your lists, unless you choose to include the "List-Name" filter option in your search criteria. The criteria above render the results below:

You can also save your results as a segmented list by clicking the "Save As Segment" button. If you click this button, a popup box appears.

Insert the name of your segment in this box and click the "Save" button. Your search criteria will then be saved as a segment, which can be exported.

Basic Filtering Options

When viewing contacts, sending email campaigns and setting up your autoresponders, you
can make use of the filtering options that you are presented with, which include the following:

  • Email Address: If you wish to find an individual email address you can do so using this option. If you type in an entire email such as 'john@emailaddress.com' and there is a contact with these details you will be displayed a list containing only this contact. Searching only for 'john' will result in a list of all email addresses that contain the word 'john'. Lastly, if you want to find all the email addresses that are from a particular domain you can do so here by searching for something like '@emailaddress.com."

  • Format: This option allows you to search for both HTML and Text based contacts, or either one individually.

  • Confirmation Status: This option will search for contacts that are either confirmed or unconfirmed or both.

  • Status: This is where you can search for contact by their activity status. This means you can search for all contacts, only active ones, only bounced ones or only unsubscribed email addresses. You can use this to locate contacts that have unsubscribed but wish to have their status activated again.

  • Filter By Date: Here you can decide to limit your results by contacts that have subscribed before or after a date, even those that subscribed in between particular dates.

  • Clicked On Link: If you have previously sent an email campaign out and tracked your link clicks you will be able to use this option to filter your contacts by those that have or have not clicked on the links found in your email campaigns.

  • Opened Email Campaign: If you have previously sent out an email campaign and tracked opens you will be able to use this option to filter your contacts by those that have or have not opened a particular email campaign.
